Group Orders
Group orders let multiple people place individual orders through a shared link, under a single coordinated campaign with a deadline. Perfect for sports teams, school spirit stores, and corporate swag drives.
Creating a Group Order
Go to Admin → Group Orders → New Group Order and fill in:
- Name — A clear name visible to participants (e.g., "Riverside High Basketball 2026 Spirit Gear").
- Storefront — Which of your storefronts this group order is tied to.
- Deadline — The date after which no new orders will be accepted. Choose a date that gives you enough production time before your ship date.
- Products — Optionally limit which products are available in this group order, or leave open to allow all products in the store.
- Minimum quantity — (Optional) Set a minimum number of items before the group order "activates" and moves to production.
Click Create Group Order. The group order is created in OPEN status with a unique share token URL.
The Share Token Link
Every group order has a unique share link like:
https://yourdomain.spreeshop.xyz/group/abc123xyz
Share this link with the team coach, school coordinator, or event organizer. Anyone with the link can place an order before the deadline. Click Copy Link or Copy Email Template to get pre-written announcement text you can send.
Adding the Team Roster
To track who has and has not ordered, add a roster. Go to the group order detail and click Manage Roster. You have two options:
Manual Entry
Click Add Member and enter the person's name and email address. Add each person individually.
CSV Upload
Click Import CSV and upload a CSV file with columns: name, email. Download the CSV template from the import dialog. After upload, review the preview and confirm import.
Tip
Tracking Who Has Ordered
The Roster Dashboard tab shows each roster member with their order status:
- Ordered — They have placed their order. Click to see what they ordered.
- Not Ordered — They have not placed an order yet.
- No Email — Roster entry without an email address; cannot send reminders.
You can also see the aggregate: X of Y members have ordered, with a progress bar.
Emailing Members Who Have Not Ordered
To send reminder emails, go to the Roster Dashboard and click Email Non-Orderers. You can customize the email message (default message: "Reminder: the deadline to order is [date]. Click here to place your order."). You can also select individual roster members and send them a reminder by checking their row and using the Send Reminder bulk action.
Warning
Closing the Group Order
When the deadline passes, the group order status changes to CLOSED automatically. No new orders can be placed through the share link. You can also close a group order manually by clicking Close Group Order before the deadline if you have reached your minimum or want to cut off orders early.
After closing, all orders that came through this group order appear together in your Orders list, filtered by this group order. Use the bulk actions to move them all to PROCESSING at once.
Fulfillment
Group order items are fulfilled as individual orders — each member pays separately and gets their own tracking number and confirmation email. You do not need to do anything special for fulfillment beyond the normal order workflow. The group order dashboard shows you an at-a-glance fulfillment progress as orders move through production.
